                     Giovannis entertainment w/drinks and food Clock Tower 

                     Inn pig roast  (under tent if necessary)

NOTES:

-Bill said the Welcome Party can be the most important event, and we want to get 

  people charged up for CRC by having a good start.

 

Bill said we need to find a theme.  Possible suggestions are Crossroads of the Region, a Forest City theme, something with nuts, screws and bolts?

 

Mark suggested we talk to the City of Rockford or Chamber of Commerce for some support for CRC since Rockford is the host city.  Some possibilities would be financial help, transportation donations, etc.  Mark will contact some people he knows.

 

Jeff McCoy suggested using a post card mailer for announcements.  Bill wants to send it out 12 weeks ahead, and give discounts to people who pay in advance (possibly a 6 week discount) to help with the cash flow.

 

Jeff and Sergio said they were given gift bags at CRC 2003.  (Suggestions for 2004 bags key chains, multi-purpose pocket knives, check the ASHRAE website for ideas)

 

Everyone liked the idea of having matching polo style shirts so we would be easily identified as CRC committee people at the event.

 

Jim Vallort (ASHRAE Regional Director) offered the following:

 

§         $2500 seed money (loan) should be set up in a separate account

§         Recommends 1-2 hours for length of speakers time

§         For sponsors seek out companies from all cities in region (not just locally)

§         The 3 most important things to concentrate on for a successful CRC:

1.       Tech sessions

2.       Speakers

3.       Communication

Ų      Our next two meetings will be Tuesday, June 24,2003 and Tuesday, July 22,2003 at 4:00pm at Giovannis.  Details to follow.
